About Us
We are The Trapezius Ltd trading as The Trap House Gym, a company registered in England and Wales. Our registered premises is Unit 5, Bowling Hill Business Park, Chipping Sodbury, BS37 6JL.

Joining and Membership

You can complete the sign up process online at www.thetraphousegym.co.uk. Please make sure that the details that you provide to us about yourself are complete and accurate.

You will agree to pay the Joining Fee. It is at the point where you pay the Joining Fee and agree to the collection of Direct Debits that a contract is formed between you and us.

You must ensure that all the details provided when you sign up and on your ParQ form are true and correct. We reserve the right to refuse and/or cancel your Membership sign up application if we reasonably believe that the information you have provided is incorrect and/or false.

If you have a disability or health condition that you wish to declare or notify us about then you should email traphousegym@icloud.com.

Membership is subject to approval by The Trapezius Ltd.

Membership fees, types, and benefits may vary and are subject to change.
Access
-
Your QR Access Scanner and Membership App is issued solely for your use and you must not let any other Member or non-member use this to access the gym.

You are responsible for keeping your access Scanner and App secure and confidential at all times.

In the interests of the safety and security of all our Members, use of Access Scanner and App are monitored and individuals may be asked to provide proof of identification

If we have reasonable grounds for believing that you knowingly provided your Access Scanner and App to another individual or individuals, or allowed unauthorised entry following your entry to the gym (eg. tailgating), we may hold you responsible for the conduct of such individual(s) and to compensate Us for the cost of a monthly Club Membership and we may also hold You liable for any loss We suffer as a consequence of that conduct. We may also, at our sole discretion, cancel your Membership without notice.
Rules and Regulations

Members must comply with all gym rules, policies, and guidelines, including safety instructions and proper equipment use.

The Trapezius Ltd reserves the right to refuse access or terminate memberships for any breach of these terms.
Liability Waiver

Members assume all risk of personal injury, death, or property loss resulting from any cause whatsoever, including negligence, breach of contract, or breach of any statutory or other duty of care.
Payment and Fees
-
Members agree to pay all applicable fees, charges, and taxes for their selected membership type.

Late or returned payments may be subject to additional fees.

If you are an Annual Member, you agree to pay the Joining Fee, along with the first Monthly Fee upfront and commit to Direct Debits for further Monthly Fees for each month in your Annual Member Period.

If you are a Monthly Member, you agree to pay the Joining Fee along with the first Monthly Fee upfront and a rolling payment of the Monthly Fee with no ongoing contract.

We will continue to debit all Monthly Fees even if you do not attend the gym and/or if there are circumstances which affect access to and use of the gym. Other than during an emergency, where there are occasions when we must close all, or certain parts of the gym, we will provide reasonable notice in advance and will use reasonable endeavours to ensure that such closures are during quiet periods.

If any payment due from you is not received or a Direct Debit is not honoured for any reason, you must pay us an administration fee of £10.

We may change the Monthly Fee for Monthly Members at any time by providing you with 4 weeks’ notice. We will not change the Monthly Fee for Annual Members during their Annual Member Period but we do reserve the right to amend an Annual Members Monthly Fee after that period ends.

If your initial Monthly Fee was part of any offer or Promotional Code, your Monthly Fee will be charged at the agreed promotional period and will then automatically change to the regular Monthly Fee at the end of the promotional/offer period.

If you fail to pay any amount due under this Contract for a period of more than 30 days, then we may pass this debt to a third party collection agency for collection. All reasonable costs incurred in the collection of this debt (including tracing you) by the collection agency shall be borne by you.

From time to time we may need to increase the price of a Membership. We will give you at least 1 full months’ notice of any incoming price increase and will make it very clear when the price increase will take effect and how much your membership will cost after the increase.
Cancellation and Refund Policy

Members may cancel their membership by providing written notice according to the terms stated in the membership agreement.

Refunds, if applicable, will be processed according to the cancellation policy.
Personal Information and Privacy Policy
At The Trapezius Ltd we are committed to protecting your privacy. We collect and process personal data about you to provide the services you use, operate our business, meet our contractual and legal obligations, protect the security of our systems and our customers, or fulfill other legitimate interests.
Our Privacy Policy explains how we collect, use, share and protect your personal information. When we update this policy we will post any changes on our website.

WHAT INFORMATION DO WE COLLECT?

Name, date of birth, gender, e-mail address, postal address, telephone number, health declaration and whether you require disabled access

Credit or debit card information, information about your bank account number and sort code or other banking information. Note that we do not store your bank or credit card details on our web servers

Your membership information – such as dates of payment owed and received, the services you use and any other information related to your account

The Trapezius Ltd may use personal information for marketing purposes, subject to applicable laws.

When you contact us providing your details and/or during your use of the Membership, we may gather information about you and your visit to the gym.

For Direct Debit payment and collection purposes you agree that your personal information may be processed by a third party nominated by us to collect Direct Debits.

We do not, and will not, sell any of your information to any third party, including your name, address, email address or credit card information. However, we do share your information with a number of select third parties to enable us to provide our products and services to you, to send marketing information and to improve our business operations.

When agreeing to these Terms and using your gym, you consent to your image being recorded by 24-hour CCTV for security purposes (including review of use of Access Codes, QR Codes and any potential misuse of the aforementioned) and reviewed by our employees

Changes to Terms and Conditions

The Trapezius Ltd reserves the right to change these terms and conditions at any time. Members will be notified of significant changes.
30-Day Notice for Membership Cancellation Policy
At The Trapezius Ltd, we strive to provide our members with a flexible and accommodating experience. We understand that circumstances change, and members may need to cancel their gym membership. To facilitate a smooth transition for members wishing to cancel, we have established the following 30-day notice cancellation policy.
Policy Overview:

Members wishing to cancel their gym membership must submit a written notice of cancellation 30 days prior to their desired cancellation date.

The 30-day notice period allows both the member and the gym to make necessary adjustments. Members can continue to enjoy gym access during this notice period.
Cancellation Notice Submission:

Members must complete the “30-Day Notice to Cancel Gym Membership” form, available at the front desk or online on our website.

The completed form can be submitted in person, via email, or through our website, according to the member’s convenience.
Final Billing and Access:

Members will be responsible for any dues or fees incurred during the 30-day notice period.

Membership access and benefits will continue until the end of the notice period.
Confirmation of Cancellation:

Upon receiving the cancellation notice, The Trapezius Ltd will process the request and send a confirmation of the membership cancellation and effective cancellation date to the member.
Contract Termination by us:
-
We may terminate this Contract with immediate effect for any reason, including if:
1. you are in breach of any part of the Rules;
2. we reasonably believe that the circumstances in your ParQ form have changed or are incorrect and you have not updated us;
3. the staff at your gym reasonably believe your behaviour (such as complaints from other Members) is not of the standard expected of a Member;
4. you continually leave weights on machines or do not put dumbbells or plates back on the racks irrespective of the number of times;
5. we reasonably believe that you have willingly allowed any other person to use your Access Code or App to access the Branch or have allowed another person to enter the gym by tailgating or opening the doors or fire escapes.

Further and in the alternative, we reserve the right (at our reasonable discretion) to suspend and/or discuss your Membership if you breach the Rules.
